PGAIET COUNSELING :
Counseling in respect of admissions to various Post-Graduate Degree (MD / MS) Post-Graduate Diploma courses and Post-Graduate Dental (MDS) courses for the academic year 2015-16 J.N. Medical College and KLE VK Institute of Dental Sciences, Belgaum constituent units of the KLE University, Belgaum

(Applicable to those candidates declared ‘eligible’ in the KLEU-PGAIET conducted on 31st January 2015 at 08 centers across the country).
Schedule of Counseling
1) The counseling sessions will be conducted at KLE University, J N Medical College Campus, Nehru Nagar, Belagavi–590010. Open counseling shall be conducted in a transparent way in the auditorium after scrutinizing all the Original documents and also making use of Biometric analysis and Photo- identification of the candidates.

3) Failure to report for counseling on the scheduled date and time will result in instantaneous cancellation of a claim of the candidate to the seat.
4) The candidate should remain present for the counseling & for on-the-spot admission, as per the schedule displayed on website, even though he/she fails to receive any information letter, for any reason from the University.
5) Only the candidate & one of his parents/guardian will be allowed into the hall where counseling is held. The candidates will be called in the order of their ranking in the merit list & offered the seats to the various courses available at that point of time. The candidate will be allowed to choose admission to any of the courses if a seat is available when his/her turn comes.
6) The candidate must note that appearance for the examination & inclusion of name in the Merit List does not necessarily mean that he/she will get admission to any course. His/her admission to a particular course will depend upon the availability of seats for that particular course at the time of his/her counseling.
7) If any candidate finds it impossible to be physically present for the counseling due to unavoidable circumstances, he/she may authorize any other responsible individual to represent him/her at the counseling. This representative must carry with him/her the letter of authorization in the format given in Annexure – III as well as all the documents listed in Annexure – I. If the candidate or his representative fails to report for the counseling on the date & time mentioned in the schedule of counseling, his/her claim for courses will be forfeited. The choice of course made by the candidate, his/her representative will be final & binding & will not be ordinarily altered later.
The Candidate must report physically to the University office, within 72 hrs of the allotment of a seat if authorized representative has appeared for the counseling. In case the candidate fails to report physically to the University office, within 72 hrs of the allotment of a seat will lose his/her claim for admission to that seat.
8) If the original documents of the candidates are retained by any of the University during the time of counseling the candidate still can appear for counseling, but he/she has to produce the certificate from the concerned Principal /Dean/ Registrar that, such original marks card and certificates of the candidate have been retained by them.
Further if such a candidate is allotted seat during the KLEU-PGAIET -2015 counseling he/she has to produce the original to the University office within 72 hrs of the allotment of a seat. If candidate fails to submit all original documents to the University office, within 72 hrs of the allotment of a seat he/she will lose his/her claim over the seat opted and such seat shall be treated as vacant seat for subsequent seat allotments, as per merit of preferential opted by wait listed candidates.
Registration for Counseling :
• On their respective days of counseling, candidates should register their names in the attendance register at the venue of counseling between 09.00 AM to 10.00 AM in the morning session and between 2.00 PM to 3.00 PM in the afternoon session. (Registration Starts from 9.00am in morning 2.00pm in afternoon session)
• On their respective days of counseling, those of the candidates who fail to register their names in the attendance register at the venue of counseling between 09.00 AM to 10.00 AM in the morning session and between 2.00 PM to 3.00 PM in the afternoon session, shall be called for counseling at the end of that session or at the beginning of the next session.
Scrunity / Documents Verfication for Counseling :
On their respective days of counseling, the candidates concerned shall appear for verification of original documents, biometric analysis and photo- identification before seeking admission through counseling. Candidates intending to take the Post Graduate admission required to undergo biometric verification during counseling for seat selection and at the college level, during the admission process to ensure fairness to the merited students and to eliminate fraudulent attempts.
KLE University (KLEU-PGAIET 2015) reserves the right to change (or) reset the Biometric Verification Parameters at any time during the selection process. Any mismatch at any stage will automatically result in disqualification of the candidate and he/she will not be permitted to participate in any further process of seat selection and admission to PG course. Further, impostors are liable for criminal prosecution
PREFERENCE FORM FILLING PROCEDURE :
Preference form: Preprinted Preference form will be issued to eligible candidates after document verification and allotment of waitlist. The candidate should verify the relevant information of his TAT Number, Rank No / Category Rank No. KLEU- PGAIET 2015, Preference form should be handled carefully and should not be folded, stapled or spoilt in any way.
1. Candidate will be issued only ONE Preference Form. Duplicate / another Preference form will not be issued.
2. In case the candidate is not eligible for admission according to rules, the Preference form will not be issued or cancelled if already issued.
3. Candidates remaining absent for the process of preference from filling will not be issued preference form after the counseling is over.
4. Candidate should read all instructions before filling the preference form. Candidate should note carefully the subject codes. Candidate must first fill the specimen copy of preference form given in the brochure with pencil for practice. Once the candidate is satisfied with his / her choices filled on specimen copy of preference form, then he should start filling the actual preference form using ball pen.
5. Candidate should write his most preferred subject code as preference no. 1 followed by his next choice as preference no.2 and so on. While filling the subject codes, number should be written in boxes, one digit in each box (3 digit number – 3 boxes). As the form will be scanned by Computer, candidate should write the codes with ball pen and with neat, legible, clear handwriting.
6. Candidate must be very careful while filling the preference form. Candidate can fill minimum one preference or any desired number of preferences or maximum 30 for Medical and 9 for Dental. The same code should not be filled more than once. In case the candidate fills the same code more than once, higher preference will be considered and subsequent repeated preference(s) will be ignored. If the candidate fills wrong code number that preference will not be considered.
7. If a candidate does not give preference for a particular Subject code then it means that he / she is not interested / desiring to take that PG seat. Candidate should note that there will be no change / addition / deletion in his / her list of preferences at later date / stage.
8. The candidate should submit his / her duly filled Preference form at the specified Counter. Candidate shall inform regarding any correction if required at the counter.
9. Data Response Sheet & Verification: The preference form will be scanned /keyed and data response sheet in duplicate will be generated and will be given to the candidate for checking. Candidate should verify that the data i.e. Rank No. Name, Wait list No. etc. and his preferences and subject codes have been correctly printed. After verification the candidate can report discrepancy if any in the data and it will be duly corrected. If the candidate does not report any discrepancy, it will be presumed that the data entered against his / her name is correct and subsequently corrections will not be made at later date. Then the candidate should sign the data response sheet.
10.Candidate should note that after verification by the candidate, the preferences exercised by the candidate shall be final and irrevocable. Thereafter there cannot be any change in the preferences. This final data shall be used in the entire selection process for admission to Medical /Dental Postgraduate courses in subsequent rounds of admission.
11.If a candidate gets selected for a particular PG course, then the candidate is required to join that course within stipulated period of time as per the procedure. In case he / she do not join the course, he / she will not be eligible for subsequent admission process of KLEU-PGAIET-2015.
12.For filling of vacant seats after subsequent round, same preferences will be considered and no separate preference form will be required to be filled by the candidate.
Note in case of representative:-
The candidate should abide to the preferences exercised by the representative which is final and irrevocable.
SUBSEQUENT SEAT ALLOTMENT PROCEDURE :
PREFERENTIAL ROUND :
1. The collected data will be centrally processed for the seat allotment to MD/MS/Diploma and MDS Courses
2. The seat allotment will be done as per Wait List No. and on the basis of Preferences given by candidates in the Preference form.
3. Allotment of seat will be done once in a week. If the number of seats are available/vacant more then it will be twice a week.
4. The list of allotted candidate will be displayed on the website of KLE University i.e. www.kleuniversity.edu.in. List of selected candidates will be sent to all concerned colleges. Candidate should report and pay the fees and submit original certificates at respective colleges within stipulated time. No separate selection letter will be issued to candidates. If the candidate does not report by aforesaid specified date, then his / her selection automatically stands cancelled and he / she will not be eligible for subsequent process.
5. The academic term of Medical Postgraduate courses shall start from 2nd May, 2015.
